JOB DESCRIPTION: ACCOUNTANT/BOOKKEEPER

REQUIREMENTS:

Keep the records of financial transactions for St. John Lutheran Church using calculator and computer systems. Verifies, allocates, issues and signs checks for disbursements and posts details of ministry transactions to subsidiary accounts in journals or computer files from documents, such as sales slips, invoices, receipts, check stubs, and computer printouts. Summarizes details in separate ledgers or computer files and transfers data to general ledger, using calculator or computer. Reconciles and balances accounts. Compiles monthly reports for council presentation to show statistics, such as cash receipts and expenditures, accounts payable and receivable and other items pertinent to the operation of St. John Lutheran Church. Calculates employee wages from records or time cards and prepares checks for the payment of wages. Prepares and signs withholding, workman's compensation insurance wage audit., Social Security, and other tax reports required of St John Lutheran Church. Is a member of the Finance Ministry and assists in the annual budget preparation. Insures that the Audit Committee has access to all the financial records and that they perform the annual financial records audit. Prepares and publishes the treasurer's annual report which summarizes the yearly financial information for St John's annual meeting

JOB DESCRIPTION: CHURCH NURSERY SUPERVISOR

REQUIREMENTS:

  1. Have a structured activity available for use when appropriate.
  1. Hours 7:45 AM until last child is picked up between 11:45 and 12:00 noon Summer hours will be 9:15 AM until last child picked up between 11:00 and 11:15 AM. Summer hours occur Memorial Day weekend through Labor Day weekend.
  1. Make sure toys, activities, book are picked up at the end of the session
  1. Will work with and direct a volunteer from the church for each session.
  1. Will notify parents if child is sick or needs attention.
  1. Nursery will be open 52 Sundays per year plus special arrangements for some mid-week services. Notify the chairperson of the Evangelism Ministry in advance when a Sunday off is needed or ASAP when ill on Sunday.
  1. Focus on the children and their needs.
  1. Because we are a Christian institution, the employee will be expected to conduct him/herself in an appropriate manner at all times so as to be a positive representative of our church to church members and visitors.

JOB DESCRIPTION: CHURCH SECRETARY

LAST UPDATED: August 2007

Daily:

  1. Answer Phone Calls:
    • Transfer to appropriate person
    • Take message or transfer to voice mail if unavailable
    • Take food calls for Stocked Shelf Food Pantry and schedule appointments.
  2. Process any miscellaneous mail.
  3. Check guest register for any visitors. (Co-ordinate with Evangelism Ministry).
  4. Send appropriate visitor letter - [Co-ordinate with Evangelism Ministry].
  5. Keep church records and statistics up to date.
  6. Assist visitors and members as needed.

Weekly:

  1. Prepare bulletins for all worship services:
    • Make any changes to "normal" service (Date, hymns, worship assistants, etc.)
    • Update announcements
    • Update weekly calendar
  1. Change Eternal Candle.
  2. Fill altar candles with liquid wax.
  3. Attend Staff Meeting.
  4. Distribute food and maintain records for Stocked Shelves.
  5. Keep inventory of paper - white and colored.
  6. Maintain supply of communion bread.
  7. Set up communion for Midweek service and check the next morning to see if communion was cleaned up.
  8. Prepare hymnal notice.
  9. Create Power Point slides for announcements.

Monthly:

  1. Assemble Communique
  2. Run Communique and put in mailboxes.
  3. Run and distribute church council and ministry minutes as needed.
  4. Prepare and take bulk mailings to Post Office.

Annually:

  1. Assemble and Update Church Directory (3 - 4 times per year).
  2. Assemble Annual Report for Annual Meeting in January.
  3. Keep Envelope list updated and type envelope information for Financial Secretary.
  4. Complete and send any annual forms.
  5. Label council mailboxes.

As Needed:

Funerals:

  1. Re-arrange sanctuary chairs for funerals; when required.
  2. Make funeral bulletin.
  3. Have Graveside bulletin ready.
  4. Remove first row of center section of chairs; if required.
  5. Pick up registration book.
  6. Hang banner with proper name.

Baptism:

  1. Hang banner with proper name on it.
  2. Have candle made with name engraved for baptism.
  3. Put out descending dove and olive oil in shell for baptism.
  4. Put out baptismal cloth at baptismal font.
  5. Pass name of baptized onto person taking care of baptismal banner.

Office:

  1. Type any letters or email for newspaper information.
  2. Type any certificates for members, baptisms, confirmation and weddings as needed.
  3. Manage office supply inventory.
  4. Maintain church member mailboxes.
  5. Prepare mailing labels as requested.

Confirmation:

  1. Assemble Confirmation requirement information binders.
  2. Record confirmation students' requirements.
  3. Keep Pastor and Birgit updated on students' requirements.

JOB DESCRIPTION: DIRECTOR OF MUSIC

Purpose:

To enhance worship of the congregation by helping to ensure that music is spiritually uplifting and an integral part of the worship service.

General Description:

The primary role of this position is that of organist/keyboardist for the church and the music ministry coordinator for the congregation.

Responsibilities and Expectations:

  • To play for worship services on Sunday mornings, the mid-week services (currently held on Monday evenings except during Lent and Advent when they are on Wednesday evening), and for special services such as those during the Easter and Christmas seasons.
  • To promote, develop, and facilitate the Music Ministry of St. John. This includes coordinating choirs (Senior, King David, and Cherub) and potential new areas such as a praise band or a bell choir. The Director of Music will work with the Worship Ministry to coordinate music activities, with the Worship Planning Team to plan music for worship services, and with the Hymn Pickers as they select the hymns.
  • To work with others involved in music to foster and provide educational and musical ministry opportunities at St. John. 
  • To direct and/or be the accompanist for the Senior Choir. The goal is having a volunteer in the church be either the director or the accompanist. The Director of Music would assist with recruiting a volunteer.
  • Director of Music has the right of first refusal to provide music for funerals and weddings.
  • To be responsible for the Music Ministry budget, music equipment, maintain the music library and follow copyright laws.
  • To work with the Staff Support Ministry on the interpretation of the job description and the annual Staff Performance Feedback process.
  • To arrange for the tuning of all pianos as needed.
  • Because we are a Christian institution, the employee will be expected to conduct him/herself in an appropriate manner at all times so as to be a positive representative of our church to our church members and visitors.

Qualifications:

  • Minimum of five years experience in church related setting (preferred).
  • Ability to shepherd volunteer musicians.
  • Positive attitude and respect for people.
  • Dependable, flexible, responsible, and creative.
  • Ability to organize, coordinate, and motivate musicians.
  • Ability in many different styles of music.

Compensation Package:

  • Pay will be determined annually by the Staff Support Ministry
  • Two weeks off per year (Sunday and weeknight services) (vacation weeks not to include special service times such as Easter and Christmas). Substitute organists will be arranged for by the Director of Music, who will provide the church treasurer the substitutes name and address for timely payment by St. John. (Some of our midweek services may be covered by volunteers).
  • If necessary, the Director of Music may arrange for additional time off provided he/she works it out with the Staff Support Ministry, arranges for a substitute organist and pays the established rate for the substitute organist.
  • Director of Music will determine personal fees for weddings and funerals.
  • Participate in some annual continuing education, which the church will support financially up to $125.

CHARACTERISTICS OF THE MINISTRY FACILITATOR

MAJOR AREAS OF RESPONSIBILITY

Volunteer Ministry:

  • Develop and maintain an understanding of the purpose of volunteers in the church. Help each member understand how to be a wise steward of their gifts
  • Collaborate with church staff and ministries to identify and describe needs in their areas of responsibility
  • Use the time and talent questionnaires, meetings with members and other methods to match parishioners with ministries and other activities of the church.
  • Help equip volunteers with the necessary information, knowledge and skills to meet ministry requirements
  • Support the volunteers by recognizing and expressing appreciation for their contributions
  • Evaluate the volunteer ministry on an annual basis

Youth Ministry:

  • Support existing and initiate new activities to maintain and increase participation by youth in our church.
  • Work with volunteers to identify youth group activities for confirmation age through high school
  • Build relationships with youth and invite them to participate in church activities
  • Find resources to help the youth and the leadership
  • Participate in youth activities with love and respect for young people.
  • Work with the church leadership to develop and maintain congregational support for youth ministry programs

Education Ministry:

  • Develop strategies to increase participation in Adult Education opportunities.
  • Assist Parish Education Ministry.
  • Develop plans and support for classes, forums, retreats and other learning opportunities for all ages and learning styles
  • Assist the Pastor in the teaching ministry.
  • Organize and help plan the confirmation program.

Worship Ministry:

  • Be responsible for the message four to eight times per year
  • Develop, with the Pastor, a lay ministry program which will include but not be limited to:
  • Worship assistance
  • Hospital visitation
  • Visitation of shut-ins
  • New member orientation and support
  • Work with the worship planning group

Communications

  • Attend weekly staff meetings.
  • Prepare monthly report to church council.
  • Attend church council meetings.

JOB DESCRIPTION: CUSTODIAN

QUALIFICATIONS:

  • Must be physically able to operate a vacuum and work with cleaning agents.  
  • Able to lift up to 50 lbs on a regular basis with no assistance.  
  • Able to perform physical work for periods of time, i.e. bending, stretching, pushing, pulling, etc. 
  • Must be able to work without supervision.

TASKS:

Garbage and recycle paper collection:

  • Collect garbage daily from the Preschool, Sunday School, kitchen and narthex and store in the back of the building and put out weekly.
  • Put garbage out for collection on Tuesday night and bring containers back into building on Wednesday afternoon. 
  • Wash dumpster monthly.
  • Check recycling bin daily and break down boxed for recycling.

Bathrooms:

  • Check bathrooms daily - re supply toilet tissue and paper towels and tidy up sink and toilets.
  • Clean all bathrooms at the end of the week so they are ready for Sunday. 
  • Clean the bathrooms by the preschool one more time in the middle of the week.
  • Replace urinal blocks and room fresheners in toilet rooms as needed. 

Bubblers:

  • Sanitize

Preschool area:

  • Wash hallways in preschool area three times per week
  • Vacuum carpets daily
  • Clean up paint spills, etc.

Kitchen:

  • Scrub down sinks and counter tops.
  • Wash down step stools (entire church)

General tasks:

  • Dust surfaces as needed.
  • Wash windows as needed.
  • Water plants.
  • Wipe down coat racks.
  • Tidy up room back of alter.
  • Spider web removal.
  • Go along mopboards with soapy water to clean up spiders and bugs.

Administrative:

  • Notify the Property & Management ministry when equipment or the building needs to be repaired.
  • Notify them when lights need to be replaced.
  • Order toilet room supplies and cleaning supplies as needed. In some cases pick them up.
